Reports

 

 

In full operation, when everything is set up and running, you will be interested in the results. The history of events at the cash registers and various overviews can be found in the Reports section. When you click to expand it (in the left navigation pane), all available reports will be displayed.

 

Fuel-related reports are grouped in the Fuel reports drop-down list.

Depending on what permissions you have assigned, you can't see data from specific locations. For example, an area manager will see a history of all the stores that are assigned to him to manage, while a store manager will see information related to only his store in reports.

 


 

Reports, like other lists in Cloud Office, can be filtered thanks to the fields at the top of the window.

Sales according to VAT

 

Quantification of sales from individual cash registers at all locations or only those that you set in the filter.

When opened, the last calendar month that has already been completed is displayed. To display other dates, change the date range in the Date from to field. There are a lot of columns in this table, so grab the middle part with the data and drag from right to left to move to the end.

Sales transactions history

 

An overview of transactions made at cash registers at all locations (or those that you filter).

You can view the sales/cancellation document that was printed during the transaction by clicking on the document image-20240723-112116.png icon at the end of the line or by clicking on the hypertext transaction number. The preview opens in a new browser tab, where you can print it (or save it to a folder on your computer).

A printed transaction is only a copy of the document, not the receipt itself.

For this report, you have the choice of exporting image-20250519-103106.png a) Sales transactions, which opens the same list in Excel as you see in the table directly in the window. The other option is b) Transactions journal, where all other details of the purchase, such as product names and numbers or the loyalty card number used, are also displayed in the Excel spreadsheet.

 


 

Closures history

 

An overview of all closures made at cash registers at all locations (or those that you filter).

You can view the closure itself by clicking on the printer image-20240723-142122.png icon at the end of the line or by clicking on the hypertext closure ID. The preview opens in a new browser tab where you can print it.

The cash revision difference means a discrepancy between the so-called registered cash (how much money should have been in the drawer according to the cash register system) and counted cash, i.e. how much the cashier entered that it  was actually in the drawer at the time of the closure. If the reason for the difference is justified/known, you can enter the so-called Approved difference. At the end of the line, click the pencil Snímek obrazovky 2024-07-22 191529-20240722-171529.png icon, enter the cash amount you approve and save.

If you also accept a foreign currency and the difference is (also) based on it, the system converts the difference to the domestic currency. The difference in cash revision is thus displayed as the sum of all currencies.

Financial transactions history

 

It is possible to top up the prepaid cards at the cash registers. You can see an overview of top-ups made at the register in the Financial transactions section. In Cloud Office, you will see a list of all top-ups made at cash registers at all locations (or those that you filter).

You can view the document that was printed during the transaction by clicking on the document image-20240723-112116.png icon at the end of the line or by clicking on the hypertext Transaction ID. The preview opens in a new browser tab, where you can print it (or save it to a folder on your computer).

Price change history

 

Whether you change the prices of goods directly in Cloud Office, or you send product settings from an external system (e.g. SAP), or the fuel is repriced on the cash register itself, all repricing is displayed in the Price change history report.

Line cancellations

 

The system records all deletions of items from the basket. In the report you will see every product that was billed to the basket but removed from the purchase before payment. Whether the deletion of the line was done by minus, by clicking on the bin or by emptying the entire basket.

Financial settlement

 

Reports on individual locations for COCA/CODO settlements between the partner and the trading company. You can view the report by clicking on the document image-20240723-112116.png icon at the end of the line. The preview opens in a new browser tab, where you can print it or save it to a folder on your computer.

Cash movements history

 

A list of movements that have changed the amount of cash in cash drawers. (At cash registers, the overview can be found in the Cash Handling section.)

Because all the information is visible directly on the list, there is no preview of the movement. You can export the entire list to Excel by using the square Snímek obrazovky 2024-07-16 154058-20240716-134058.png icon at the top right.

Tank measurements

 

The report is located in the Fuel reports drop-down list. To display the data, it is first necessary to select the filter criteria (location, tank, time range).

When entering the date, you need to confirm the selection with a tick at the bottom right in the selector.

At the bottom of the window there is a table of individual records, which you can export to Excel using the square Snímek obrazovky 2024-07-16 154058-20240716-134058.png icon at the top right.

At the top of the window, the data is displayed in a graph. When you move the cursor over one of the lines of the graph, a bubble appears with detailed values from the given moment of measurement. Click on the three lines image-20250420-095026.png in the upper right corner of the chart to choose whether to print or save it (as .png, .jpeg, .pdf or .svg).

Dispenser / Tank reconciliation

 

Reports are located in the Fuel reports drop-down list. Both reports show the amount of fuel for each action that took place at the stands or in the tanks during the day. Here you compare the values from the beginning and end of the day, and the values calculated with the measured values. To display the data, you must first select the filter criteria (location and time range).

You can reorder data in the table by clicking on the summarizing cells in the top left (Product and Date) and also by clicking on the column headers (Dispensed, Sold, Initial volume, ...). The lines are sorted by product and then by date. Each sorting line can be expanded (the beak at the beginning of the main line points down) or collapsed (the beak points to the right).

Any error lines are colored and have an icon at the beginning of the line. Hover your cursor over this icon to see a gray tooltip to show what the error is.

Fuel inventory

 

The report is located in the Fuel reports drop-down list. The table shows the individual records of fuel levels. If any of the lines are colored, hover the cursor over the icon in the Record status column. This will bring up a gray tooltip with information about what the notification is.

You can open the record by clicking on its hypertext ID in the first column. (see below)

You can see the data in detail either from the nozzles or from the tanks. You select with the buttons at the top right, the view that is currently on is marked with a gray button. To return to the list of all records, click Back at the top left.
