Sale and Cancellation

 

 

Selling is the main purpose of the cash register. Therefore, you will spend almost your entire shift in the sell window. You will also see an overview of the stands, you can see where they are currently refueled and after expanding the menu at the top left you can get anywhere else in the system.

 

The sale consists of the following steps:

  • Billing goods

  • Confirm or enter quantities

  • Payment

Manual cancellation steps:

  • Adding the first product

  • Changing the quantity to negative

  • Additional adding of other items

  • Refund

 

A slightly non-standard "sale" is recharging. Whether it is recharging payment cards, recharging mobile credit or betting accounts (Sazka/Fortuna), everything is described in the last part of this chapter, see below.

 


 

Different actions at the cash register relate to different permissions. If the system reports that you do not have the right to perform the action, contact your superior, who decides on the rights. Alternatively, go through the rights settings in Cloud Office yourself.

After logging in to the cash register, click on the Sell tile in the main window..

If this is the first time someone has opened a sale after closure, the register may request to enter the initial deposit. It depends on the settings you choose, so the register may not require an initial deposit at all, or it only requires confirmation of opening, or you need to enter the deposit amount manually.

It can also be set in the cash registers that the cashier who opened the trading day (see paragraph above) is the only one who is allowed to sell in this cash register until the trading day is closed again, see Cash register closing. In this case, if another employee logs into the cash register, the system will notify him when he tries to pay for the unfinished order..

Orientation

 

The basis of the sale window is the section with stands and product shortcuts (product images), the shopping cart section and the quantity entry area. In the case of the high-rise cash register (with height orientation), these parts overlap one by one, in the case of the width cash register (with width orientation), they are all displayed side by side.

On the width cash register you can see the following…

 

On the left:

Enter anything you are looking for manually (product by name, number or EAN code, or even a customer card number) in the top left row.

Below is a preview of the fuel dispensers.

On the shortcut tabs, select the group to which the product you are looking for is assigned.

Click on the shortcut to add the product to the cart.

Icons in the top bar:

Three lines in the top left will take you to the menu and from there anywhere else in the cash register.

If the tank icon is lit, the fuel supply is in progress.

The blue head indicates an identified customer.

When the clock appears, you need to enter the state of the offline tanks.

Click the F in the rectangle to check the status of the fiscal module.

A green tick in a cloud indicates that the register is online.

On the right is the cash register designation, in our example P1-1. (Click to see more information about the register.)

The last icon on the right indicates who is logged in at the cash register.

On the right:

The basket shows the billed items.

On the right, enter the quantity of goods you have just added or clicked on in the cart.

The total price for the purchase is in the bottom bar.

In the bar at the bottom right there are buttons for different payment methods.

At the high-rise cash register, you see the same things, just stacked on top of each other. The basis is the product search section with a search bar, tabs and shortcuts. The window for entering the quantity is displayed automatically when the goods are scanned. To view the cart, first click on its icon at the bottom right.

To further adjust the quantity, click on the number of pieces in the basket. To return to adding products, use the Back button at the bottom right. The total amount and the selection of the payment method are in the bottom bar.

All other windows that can be displayed always have a cross option at the top right to close them.

Billing goods

 

You have several options for adding goods to the cart:

Scanner

  • Scan the EAN code of the goods with the attached scanner gun.

  • If you have a scanner built directly into the cash register setup, place the EAN code under the scanner.

  • Cash registers that use the camera directly on the device will only start scanning when you click on the barcode icon in the top right bar.

Shortcut tabs

  • In the tabs bar, select the group to which the product you are looking for is placed.

  • Click on the product shortcut, i.e. directly on the image.
    (If no photo is uploaded, only the contour of the bag is shown.)

Product search

  • In the row with a magnifying glass in the top left, start typing the name, number or EAN of the product.

  • When you see your product among the options, click on it.

Fuel from the stand

  • Once the customer has said which dispenser he used to refuel, click on it in the dispenser view top left.
    At some stands, it is possible to start refueling immediately. So if there are multiple transactions on the stand at a moment, a selection window will appear after clicking. Compare the transactions properly and click on the one that this customer wants to pay.

  • The icon of the dispenser billed in the basket turns blue and the dispenser number is indicated with an asterisk in the basket in the fuel line.

  • Do you want to bill a stand that is gray? This means that it is already billed at another cash register. If your registers allow unlocking: click on the stand to confirm that you want to unlock it and add fuel to your basket. If you do not have the option to unlock it, you will first have to remove the fuelling from the basket at the second register (by using the bin or by clicking on the stand again).

  • Does the customer want to preset the refueling limit? Click on the stand, select Set limit, enter the desired maximum price or number of liters and confirm with the Set button. The dispenser then automatically stops fueling just before the specified limit is reached.
    If you need to cancel the limit without use, click on the stand and select Cancel authorization before starting fueling.

  • An orange bar and the word Authorize appeared on the stand icon? This means that the customer is waiting for you to allow him to refuel. Click on the stand to open the menu and select Authorize. (Before he starts refueling, you can still use the Cancel authorization option in the menu.)
    More information about authorization and other control of stands can be found in the Devices chapter.

  • On the stand is a terminal icon image-20250120-135300.png? This means that an OPT is connected to this stand. In Daily Mode, customers can choose whether to pay on it or come to the shop.

    • If the customer pays on OPT, the stand is gray on the register.

    • If you add refuelling to the basket at the register, the transaction will disappear from OPT.

    • If you remove the refuelling from the basket at the register, it will return to OPT.

  • If it is not refueling by the customer, but refueling resulting from a dispenser/fuel test, add the fueling in the basket and proceed in another way. Find out more here.

Manual fuel billing

  • Exceptionally, it may happen that the connection with the dispensers is interrupted and the refueling does not appear at the cash register.

  • First, find the type of fuel that the customer refueled:

    • either use the search bar at the top left, or

    • select a group in the tab bar and click on the fuel shortcut.
      In order for fuels to be visible in the tabs, it must be set (by the manager) in Cloud Office. Therefore, the tab may have a different name.

  • In the window that appears, select the Dispenser where the customer refueled and confirm the Pistol.

  • On the keyboard, enter the number of liters and click Confirm.

  • In the basket, the dispenser number is indicated with the letter M.

In order to manually bill the fuel, the product must have the Manual sale option enabled in the Cloud Office, see Product List.

Products with returnable packaging

  • If you load a product that is sold in returnable packaging (e.g. beer in a glass bottle), the returnable packaging is automatically added to the basket as an additional line.

  • The returnable packaging line cannot be deleted! It will only disappear if you delete the product that is sold in the packaging from the basket.

You may also come across one box with several packages. For example, at Christmas you will sell a box with six beers (so-called  six-pack). Scan the EAN code from the box and 1pc of Christmas beer box will appear in the basket. However, there will be 6 pieces in the second line for returnable packaging, because there are more returnable bottles in the box.

Return of packaging (individually)

  • If customers return packaging directly at the cash register, do not load the EAN of the product! Instead, bill the returnable packaging itself.

  • Maybe you have it ready as a shortcut in the tabs. (see above)

  • Or find the packaging in the product search bar. (see above)

    If you are not sure exactly which packaging the customer returns and how is it named in the system:

    • Scan the EAN code of the product.

    • See how a packaging line that was added automatically is named.

    • Delete the product after you have tried to load it!

    • And now you know under what name to look for the packaging to return it.

  • The packaging is always loaded into the basket with a minus. If the customer returns more, reduce the quantity or add another type of packaging.

  • Feel free to add in the basket the goods that the customer also buys. The price he has to pay for the goods will be reduced by the price of the returned packaging.

Return of packaging by vending machine

  • The customer returns the packaging using the vending machine, which generates a coupon with an EAN code.

  • Load the coupon and the register will add a new line to the basket with the appropriate minus sum.
    For the cash register to accept the coupon, it had to be generated by a machine from the same store.

  • More coupons can be used at the same time and may or may not be billed together with some goods. The resulting sum can be a plus, i.e. the customer still pays something, or a minus, and the staff repay the customer.

  • A transaction using a coupon for returned packaging can also be cancelled. In the event of cancellation, the customer will be refunded the full sum he would have paid if he had not used the coupon. This is because there is no way to return the already used coupon.
    Example: A customer bought a bottle of water for €2, but thanks to the coupon for the returned packaging he paid only €1. If this transaction is cancelled, if the original unopened bottle of water is returned, the sum of €2 will be refunded.

 

 

 


 

Special products

When billing certain goods, a query window may appear, or the goods in the basket will be added differently, or you may need to click on something, …
These products are...

  • Dual VAT items: After scanning an item, you may be asked whether the customer is staying at the shop or taking away purchased products/food/drinks to go. According to the Dual VAT setting in the POS Settings, this question will be displayed when billing each product that is affected, or only when it is first scanned, or the system may not ask at all. When billing, always choose the true variant.

  • Orders (gastro): Some products (food and beverages) need to be prepared for the customer after sale. If the billed products have a chef's hat icon in the basket, the "order" of these dishes/drinks will also be printed on the printer in the food preparation area after payment.
    You can find out how to create order printers in the system here.

  • Age-restricted product: After you bill an age-checked item, you'll see a window with the minimum date of birth calculated. If the customer does not meet the required age, select No and the product will not be billed. If the age is met, confirm Yes, and the product will be added to the basket. The current customer is confirmed, and the cash register will no longer ask for other products’ approval.
    Which product has what age limit is set in Cloud Office.

  • Bet tickets: If you top up your customers' betting accounts using an external betting terminal, you can scan EAN codes directly from the confirmation ticket from this terminal, just like products. More in the Recharging section.

Entering the quantity

For most products, the amount is pre-filled to 1 piece and there is no need to change anything, just add more.

Specific goods (e.g. pastries) may require entering quantity. In this case, fill in the number of pieces on the keyboard (right) and confirm.

When adding a weighed product, the cash register always waits for the quantity:

  • If you have the scale connected to the register, place the goods on it, select the product (see the previous Billing goods section) and wait for the register to receive the weight information and automatically add the product to the basket.

  • If you don't have a scale attached, enter the weight/volume manually and confirm.
    However, be careful in which unit the cash register counts this product! You can tell by the displayed unit of measurement.

Additionally, you can adjust the quantity by clicking on the product line directly in the basket.

On the width register, the basket is displayed on the left in the right half of the screen and the quantity entry window on the right.

To change the quantity, you can:

  • use the minus and the plus directly in the product line to remove/add pieces

  • on the keyboard for entering the quantity, overwrite the number of pieces and confirm

  • delete the product by clicking on the trash bin at the bottom left

  • delete the entire basket by holding the bin for a longer time

It is possible to have the need for authorization by the supervisor when deleting goods from the basket turned on. In this case, when you press the trash can, an authorization prompt will appear and someone with sufficient permission will confirm the deletion by entering his PIN code.

In the case of a high-rise register, click on the icon at the bottom right to view the basket.

Click directly on the pieces to display the window for entering the quantity (picture on the right).

From the basket you can return to the sale by clicking on the Back button at the bottom right.

The Current Quantity row shows the originally entered quantity, and in the Enter quantity row, type the new quantity, and confirm.

Discounts

 

There are several ways to make the purchase cheaper for the customer:

Promotions and Packages

  • If the given conditions are met, the customer will receive a discount.

  • Bill the products in the usual way, the discount will only take effect after selecting the payment method.

  • The conditions may be:

    • purchase of a certain product;

    • purchase of a minimum number of items;

    • purchase for a minimal amount or

    • at a certain hour.

  • The discount can be a special price or discount on the product or on the entire purchase.

A manager with sufficient permissions creates promotions directly in Cloud Office.

Discount coupon

  • Upon presentation of a valid coupon, the customer receives a product/purchase discount.

  • Only if it is a coupon linked to a loyalty program, you can scan it directly in the sale window. More in the Customers chapter.

  • To add a regular coupon that is not directly tied to the customer, click on the Snímek obrazovky 2024-09-17 113007-20240917-093007.png icon in the bar at the top right and select Add coupon.

  • Scan the coupon code or fill in the coupon number.

  • Some promotions may allow the same coupon to be used multiple times. So, if the customer presented the coupon more than once, overwrite the Count field.

  • Save the coupon by clicking on the Confirm button.

  • If the customer has more (types of) coupons, continue in the same way. Finally, close the window with the cross at the top right.

A coupon can be scanned at any time, before or after the product to which it applies have been added.

  • Bill the goods in the usual way, the discount will not take effect until you select a payment method.

Discounted product

  • For some products (for example, with a short expiration date), it is possible to enter a predefined discount.

  • Add the product and click on its price in the basket.

  • A window will appear with buttons that can be marked with the amount of the discount or any text.

  • Click to select the discount and the line in the basket will turn green. This means that the discount has been entered, but the price for the product still remains the original.

  • To correct or delete the discount, click on the product price again and change the discount or use the Cancel discount button.

  • You can also check discounts entered this way by clicking on the % icon in the bar at the top right. Then close the window with the cross at the top right.

  • Once you select the payment method, the register checks the discounts, and the price of the product is recalculated.

You can also remove the discount here by using the bin at the end of the row.
If you entered more than one discount, you could delete them all at once with the larger bin in the top right.

Product discount (manual)

  • If you are allowed to enter discounts manually, click directly on the product price in the basket.

  • In the window that appears, you enter the discount either in percentage or in euros, depending on which tile you click on % or .
    If you have selected a product with more pieces in the basket, you enter a discount on all pieces of this product in the given line.

  • The lines of discounted products are in the basket in blue, with new prices. (The original ones are crossed out.)

  • To display the original unit price, click on the name of the product, the line will expand. The price before discount for one piece is in the middle below the number of pieces.

  • To correct or delete the discount, click on the product price again and change the discount or use the Cancel discount button.

Discount on the entire purchase (select)

  • Predefined buttons are used to make the entire basket cheaper.

  • Click on the total amount in the bottom blue bar.

  • A window will appear with buttons that can be marked with the amount of the discount or any text (e.g. Bus).
    The register may ask you to enter additional information. For example, when using a discount called Bus, a window will pop up at which you will need to enter the number of passengers on the bus, etc.

  • The discount applies to everything, including goods added to the cart after the discount has been selected.

  • To correct or delete the discount, click on the total purchase amount again and change the discount, or use the Cancel discount button.

The use of the discount may require sufficient authorization. If you are not entitled to the discount, an authorization prompt will appear and someone with sufficient authorization will confirm the discount with his PIN.

Purchase discount (manual)

  • If you are allowed to enter discounts manually, click on the total amount in the bottom blue bar in the basket.

  • In the window that appears, you enter the discount in percentage.

  • In this case, the discount is applied only to products that were already in the basket before entering. Products that you add afterwards will not be eligible for the discount.

 

 

Entering a discount for the entire basket overrides the previous individual entries for specific products. If you want to use a discount on the entire purchase and give the customer one product at a special price in addition, enter the bulk discount first. Only then return to edit the discount for a specific product. Here you enter a specific price on this product, the discounts are not added up. The discount on a specific product is described above.

 

 


 

Discount card

  • Loading a discount card will only reduce the price of those products to which it applies. (E.g. in the case of the MOL Partner Card, only fuel is automatically discounted.)

  • In the top right bar, click on the Snímek obrazovky 2024-09-17 113007-20240917-093007.png icon and then on the Activate terminal for read card button. The terminal will prompt the customer to load the card.
    The discount card can be loaded before or after adding products to the basket, the order does not matter.

  • Transaction approved appears on the terminal display and the cash register is in the sales window. That's when the card is loaded.

  • To view the details, click the Snímek obrazovky 2024-09-17 113007-20240917-093007.png icon again. Here you can see the amount of the discount.

  • You can use the bin to remove the card if the discount needs to be cancelled.
    Close the window with the cross on the top right.

  • Now, if you haven't done so before, add products to the basket. The discount is automatically applied only to the products to which it should.

Discounts for loyal customers

  • In addition to the options described above, there may be many other discounts conditional on registration in a loyalty program.

  • After you identify the customer (by card, code or even face scan), their specific benefits are used automatically.

Transaction parking

 

If a purchase has already been billed into the basket, but the customer temporarily steps away, for example, to get money or to pick up more items, you can park (postpone) the transaction and continue serving other customers.

 

Parking can be enabled only on certain registers in the store. (For example, you might not want parking to be visible at self-checkout registers.) On registers where this function is enabled, all registers within a location share a single parking lot.

This means that a transaction can be billed into the basket on one register (e.g., the main register), parked, and then retrieved at another register (e.g., a handheld register) and pay with the customer.

 

 


 

PARK

  • Bill the products as usual. (see above)

  • In the bottom right corner, click the three-dot button and select Park order.

  • In the pop-up window, enter a description, such as a titel, reason for parking, or the customer’s name and contact details. Confirm.

  • The red parked transactions counter will appear on the image-20250409-115153.png icon in the bottom left corner.

  • If there was fueling in the basket, it disappears from the dispenser and the next customer can fuel.

 

 

 

What does it look like at the high-rise register?

To park, click on the More button in the bottom right and select Park.

PARKING LOT

To view parked transactions, click on the image-20250409-115153.png parking lot icon in the bottom left of the sales window (in the case of a width register).
Before entering the parking lot, keep an empty basket if you plan to unpark any of the transactions. (More on unparking in the next paragraph.)

The line of the parked transaction displays the time of parking, who and where (cashier and cash register) parked the transaction, the sum of the entire purchase and the description.

Use the pencil icon to change the description.

The trash bin deletes the transaction.

If there is a fueling in the transaction, the icon and the number of the dispenser are displayed in the line.

If the transaction contains a so-called high-risk item, a red exclamation mark is in the line as well.

Click the Unpark button to return the transaction to the basket. (see next paragraph)

Use the Sell button to close the parking lot window without unparking any transaction.

 

 

 

 

What are high-risk items?

  • These are products for which you want to be sure that someone will pay for them. E.g. fueling or goods with too high price.

  • Which product is high-risk (HR) is set by the manager in Cloud Office.
